Role Overview
As the Executive Assistant, you will play a crucial role in supporting our CEO and as needed other Board  members in various administrative, strategic, and operational tasks. You will be the right hand to the C-Suite, assisting in managing the day-to-day activities and ensuring smooth communication across the organization. This role demands a high level of professionalism, confidentiality, and organizational skills, as you will be exposed to sensitive information and entrusted with managing key interactions.
Your Tasks
  • Manage calendar, schedule appointments, and coordinate meetings with internal and external stakeholders
  • Screen and prioritize incoming communication, including emails, phone calls, and other inquiries, demonstrating excellent communication skills in both written and verbal formats
  • Prepare reports, presentations, and documentation 
  • Facilitate effective communication and collaboration between the Executive Board and department heads, ensuring alignment with company goals and objectives
  • Conduct research and compile information on specific projects and topics on request
  • Maintain confidentiality of sensitive information and exercise discretion in all matters
  • Perform ad-hoc tasks and projects as needed and ensure the overall efficiency of the executive office
Your Profile
  • Proven experience as an Executive Assistant, Personal Assistant, or similar role supporting C-suite executives
  • Excellent organizational and time-management skills, with the ability to multitask and prioritize effectively
  • Strong interpersonal and communication skills, enabling effective collaboration with stakeholders at all levels
  • Attention to detail and a proactive approach to problem-solving
  • Proficient in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint), Collaboration Tools like Teams, Zoom, etc. and Sharepoint; Salesforce and Tableau/PowerBI is an optional plus
  • Bachelor's degree in Business Administration or a related field is preferred but not mandatory
  • Knowledge of the software industry or previous experience in a technology-focused environment is a plus
  • Fluency in English and German is required.
